Create an account to submit documents for your eTA application

If you received an email asking you to create a secure account and submit documents:

  • You need to do this so that Immigration, Refugees and Citizenship Canada (IRCC) can continue to process your eTA application.
  • You must create a secure account before you can see what document(s) you need to submit and by when.
  • You only have a certain number of days - from the date the information is sent to you - to submit the document(s).
    • If you don’t submit the document(s) by the deadline, your eTA application could be refused.
    • You can ask for more time to get the document(s), but you must do this before the deadline passes.

1. Find out what document(s) you need to submit and by when

You need to create your account and link your eTA application before you can check your messages. Follow these steps:

This online service will be unavailable from 8:00 a.m. to 12:00 p.m. Tuesday, April 2, 2024, Eastern time, in order to perform system maintenance.

Step 1: Create a GCKey

The GCKey secure credential service is provided by the Government of Canada so that users can safely conduct business online with IRCC.

  1. Follow the instructions to get a GCKey.

Narrator: Read the “Terms and Conditions of Use”, and if you agree, click “I accept”. If you don’t accept, you can’t get a GCKey.

Narrator: It must be between 8 and 16 characters in length, and it can contain up to 7 digits. Your username is not case-sensitive. You cannot use special characters.

Narrator: If you choose a username that is already in use, you will be asked to choose a different one.

Narrator: Your password must be between 8 and 16 characters in length. It must contain at least one upper-case letter, one lower-case letter and one digit and must not contain 3 or more consecutive characters from your username. You must confirm your password to continue.

Narrator: You must now create questions, answers and hints to be able to sign in to your account if you forget your password.

  • For the first question, choose one from the drop-down list.
  • Enter your answer for the first question.
  • You must also choose a memorable person, such as your best friend or mother, and a memorable date, such as your birthday.
  • Enter hints for both of those answers to help you remember the answers.

Step 2: Create a secure account with IRCC

  1. Once the registration for GCKey is complete, you will automatically be taken to the IRCC account registration page. Follow the instructions.
  2. Once your IRCC account is created, you will automatically be taken to your account information.

If you agree, click “I accept”. If you don’t accept, you will not be able to register for an account.

Narrator: Then, follow the steps to create an IRCC account.

  • Enter your name.
  • Enter your email address.
  • Select your preferred language: English or French. The account is available only in Canada’s two official languages.

Narrator: You also need to create recovery questions and answers for your IRCC account. These are different from the ones you created for your GCKey. It’s important to remember the questions and answers you choose because they will be used to confirm certain information in your account, such as your electronic signature. So, be sure to create security questions that are easy for you to remember but difficult for others to guess.

You need to create four recovery questions and answers in total.

Click “Continue” once you have created the four questions and answers.

Narrator: You need to enter information about your eTA application and passport. Be sure to enter the information exactly as you did on your eTA application. If you don’t, you won’t be able to link your application.

Narrator: For the “Application number”, enter the number provided in your email from IRCC. Your application number starts with the letter “V”. This field is case-sensitive.

Enter your family name, or last name; your given name, or first name; and your date of birth. These fields are not case-sensitive.

Enter your passport details.

Then click “Search for my application”.

Narrator: Your eTA application has now been linked to your IRCC online account. A confirmation message will appear on the screen, and you will receive an email that tells you your application has been linked.

Narrator: Once you have linked your application and received the confirmation message, click “Go to main account page” to access your application. You can then skip ahead to the next video: “Video 4: Find out what documents you need to submit”.

Narrator: If a match was not found to link your application, that means the information you entered is not the same as what you provided for your eTA application.

Narrator: Try again to make sure you haven’t made a typing error and that there are no extra spaces before or after what you’ve typed into each field.

Narrator: If you still cannot link your eTA application to your secure IRCC account, you can submit an enquiry form. We recommend doing this as soon as possible.

To submit an enquiry, you’ll need to exit your secure account and return to the “Create an account” web page.

Narrator: Scroll down until you see “Type of application/enquiry”. In the drop-down menu, select “Electronic Travel Authorization”. In the next drop-down menu, select “Electronic Travel Authorization – General and Technical Enquiries”.

In the text box, explain that you cannot link your eTA application to your secure IRCC account. Your message must be in English or French. Provide as much detail as you can.

Under “Applicant information”, you must provide your family name, or last name, your given name, or first name, your date of birth and your country of birth. The other fields are optional. If you are filling out the form on behalf of the applicant, be sure to enter the applicant’s details here.

“Enquirer information” tells IRCC if someone else is filling out the form on behalf of an eTA applicant. Choose “representative” from the drop-down menu if you are filling out the form on behalf of the eTA applicant. This includes if you are a parent filling out the form for your child’s eTA application. Enter your personal details.

If you are the eTA applicant, choose “applicant”. Your name will automatically be re-entered. Then enter your email address.

Scroll down and read the “Consent and disclaimer”. If you agree, select “I agree with the consent and disclaimer” and click “Next”. You will not be able to submit your enquiry form if you do not agree.

Narrator: The next page will ask you if you would like to include a document with your submission. We strongly recommend you upload screenshots of the message you are receiving when you try to link your application. This will help us to resolve the issue.

You should see your eTA application in the list and the text “Your action is required”.

Click “Check status and messages”.

Narrator: To ask for an extension, write a short letter in a document that explains why you require an extension to submit your documents. Save this document. It cannot be more than 4 MB in size.

Narrator: There will be a list of documents that have been requested. Select “Upload File” next to the document for which you require an extension.

Narrator: If you’re requesting an extension to get a police certificate, you will be asked to provide information that you won’t yet have. You will need to enter generic information to upload your letter requesting an extension. Note that you are doing this just to request an extension. Once you receive your police certificate, in order to upload and submit it to IRCC, you will need to enter the exact details found in the document.

Beside “Document Name”, enter “Request for an extension”. For the “Document Number”, enter “000000”. For the “Country of Issue”, choose your country of citizenship from the drop-down menu. For the “Issue Date”, select any date earlier than today, like last week. For the “Expiry Date”, select any date later than today, like next week. Then click “Next”.

Narrator: Select “Browse”, then choose the file in which you explain why you need an extension. Click “Upload File”.

Narrator: Now that the document has been uploaded, you need to submit it.

To start this final part, scroll down. You’ll see the summary of fees from your original eTA application. Note that you will not be charged the $7 eTA fee again.

You need to give your electronic signature by typing your name. You will also have to answer one of the questions you created when you created your secure IRCC account.

Then click “Sign”.

Scroll down and click “Transmit”. Clicking “Transmit” sends your document requesting an extension to IRCC.

Now that you know which documents you have to provide to IRCC, get them ready as soon as possible. Remember that your documents must be in English or French or be accompanied by a certified translation.

2. Get your requested documents

Get your requested document(s) ready as soon as possible. Remember that your document(s) must be in English or French, or be accompanied by a certified translation. This could take some time to get.

If you need a police certificate

Find your country and follow the instructions to get your police certificate.

If you can’t submit the document(s) by the deadline

You can ask for more time, but it has to be done before the deadline passes. You can only submit your request through your secure account. Don’t send any information by email.

To send us your request for an extension of your deadline, follow the instructions in video 4.

Prepare your document(s)

Make sure your document is in one of these file formats: .tiff, .jpg, .doc, .docx or .pdf. You can’t upload any other format.

The file size limit is 4MB per upload. If your file is bigger, find out how to reduce file size.

3. Upload and submit your document(s)

Narrator: There are lots of instructions available on the internet to help you with this.

Once your documents are ready, sign back into your IRCC account.

Click “Check status and messages”.

There will be a list of documents that have been requested. Select “Upload File” next to the type of document you would like to upload.

For certain documents, you may be asked to provide additional information. If so, provide the details requested.

Select “Browse”. Once you have selected the proper file, click “Upload File”.

The message “Success uploading file” will appear.

Click “Return to your documents”.

Narrator: If you have accidentally uploaded the wrong document, you can replace it by clicking “Update information” and uploading the correct document.

Click “Next”.

Now that your documents are uploaded, you need to submit them.

Narrator: To start this final step, scroll down. You’ll see the summary of fees from your original eTA application. Note that you will not be charged the $7 eTA fee again.

You need to give your electronic signature by typing your name. You will also have to answer one of the questions you created when you created your secure IRCC account.

Then click “Sign”.

Scroll down, and click “Transmit”. Clicking “Transmit” sends your document to IRCC.

  • Provide as many details as possible about the problem you had. Include screen shots if you can. It can take us several days to answer your enquiry.

NOTE: Make sure to check your email junk mail folder. Some spam filters may block our emails. Check the folder regularly as emails may at times be moved from your inbox to the junk mail folder.

Returning to your account

To log in to your account, go to the GCKey sign in page and enter your GCKey user ID and password.
