7.1. Inventory of Key Documents
The DFAIT mailroom receives shipments of KDs, which arrive in (section removed). If possible, the forms control officer (FCO) immediately opens the boxes, records the shipment on the control registers and locks the forms in deep storage. Otherwise, the boxes are locked in deep storage and checked as soon as possible after receipt. There is no other CBO present when the FCO opens the boxes to verify the shipment.
Recommendations
12. Two CBOs should be present during the opening and inventorying of received KDs. The CBO does not have to be an immigration CBO.
Management Response
Management agrees with the recommendation. Two CBOs will be present during the opening and inventorying of KDs. Where a second CBO is not available, one immigration CBO will record and inventory KDs upon their arrival, as we feel that this process should be done expeditiously to alert NHQ to any missing KDs as soon as possible.
