7.4. Monitoring of Logs and Quarterly Inventories

The FCO monitors the CVV counterfoil and IMM-SEAL log on a (section removed) basis by initialling the log at the start and end of (section removed). There is also a review at the (section removed) after the registry supervisor completes the (section removed). The current month’s log and control form are kept in the registry supervisor’s work area, and logs for previous months are filed in the CAIPS room on open filing shelves.

The FCO monitors the IMM 1000-CON and IMM 1442 control logs (section removed) as part of the manual count inventory. If possible, the manual count inventory is done on the (section removed). The FCO keeps an accurate record and explanation of any adjustments made to inventory during the quarter in the KD control files. The FCO’s key form control files and key form quarterly reports files were complete and well organized, with adequate documentation of inventory adjustments made during the quarter. Recommendations

15. The FCO should keep the current month’s log and control form for the CVV counterfoil and IMM-SEALS under his or her control.

Management Response

Management disagrees with the recommendation. The log and control form are reviewed by the FCO (section removed), at which time any discrepancies are noted and investigated. At the (section removed), the complete log and control form for the month are retained by the FCO in safe storage for archival purposes. As they are not controlled documents themselves and only a record of information, we are unable to identify any additional control benefits to the FCO holding the log.
